Admissions Procedures for International Students

The College of Management and information Technology (CMIT) is a unique place of learning that combines pursuit of academic knowledge with professional development. The College provides courses that combine mandatory academic and professional courses at all levels, enabling students to graduate with both academic degrees and professional qualifications. It is also structured to be a center for management and information technology research and development in Africa. It is simply the first of its kind.

AIU West Africa Admissions Committee will review the application package and verify the submitted documents for authenticity. Identification of tampered documents, at any moment, will result in immediate student expulsion and denial of accreditation of any taken course. The Registrar will send written notification to all applicants, informing the final decision taken. Should the Admissions Committee recommend the applicant for admission, the applicant may be requested to attend an interview by phone or other means. It must be understood that all original documents submitted become University property and will not be returned. AIU West Africa reserves the right to withhold the basis for an applicant's admission denial. This information will be handled as confidential and used exclusively by the Admissions Department.

APPLICATION DEADLINE: AIU West Africa has rolling admissions open throughout the year and students can apply up to 1 year in advance of the actual enrolment. The application deadline for enrolment to classes for each trimesters is 15 days before the start of that trimesters.

Step 1

The student must report to the International Office at the CMIT Campus according to the date and time stated in the Welcome Letter. The student must settle the necessary due payments prior to the Course Selection and the commencement of classes. The Student Ambassador or Student Affairs Officer shall assist students to open a bank account. During Orientation, students will be briefed on CMIT rules & regulations, the English Placement Test Schedule, and Course Selection procedures.
Attending Orientation Briefing is COMPULSORY.

Step 2

Students who do not meet CMIT's English requirement, will have to sit for the English Placement Test (EPT) as per the schedule given. The test will be held at the Centre for academic collaboration & knowledge exchange. (CAKE) . The EPT results will be released and posted on the notice board the following day and online at the school's portal.
On obtaining their results and meeting CMIT's English requirement, students should proceed with their Course Selection procedures.

Step 3

Course Selection Procedure:
  • Students must bring along the Course Selection Form and meet with the Head of Department / Programme Coordinator for advice on subject selection for the current trimester.
  • Once approval is obtained from the respective Department, students MUST submit the signed / approved Course Selection Form to the Registrar's Office (RO), for subject registrations. A Registrar Officer will assist students in this process via the CMIT's Online Portal.
  • Students may obtain the Course Schedule from the University Exam Board or log on to the CMIT Portal.
  • Student ID card - students may collect their student ID card prepared by the RO three working days after the course selection is completed.

Step 4

Students MUST submit their passport and Resident Permit endorsement fee to the International Office (IO) according to the schedule given them. The IO will provide students a certified true copy of their passport for safekeeping, pending the Resident Permit endorsement with the Immigrations Department. Students may refer to the notice board at the External Communications Department for collection of their passports. Students' names will be printed on the notice board when their passports are ready for collection and also available on the CMIT's website.

Important note:

  • Students MUST submit their passport for Resident Permit extension / renewal ONE (1) month before their Resident Permit expires. Failure to do so will incur a penalty of $10.00 per DAY.
  • Students are responsible to ensure that their Resident Permit and Entry Visa are VALID before leaving the country.

General Information:

  • It would take at least 60 days for the Immigrations Department to issue the Visa Approval Letter. Please note that it is the prerogative of the Immigrations Department to approve or reject any visa applications.
  • It is the students' responsibility to check with the Gambian Embassy in their country of origin on any special requirements or visa requirements before coming to Gambia. For example, to avoid a fine, students may need to apply for a single entry visa to enter Gambia together with the Visa Approval Letter.
  • Students are required to take the necessary inoculation(s) (injections), especially the Yellow Fever Vaccination, before coming to Gambia. A copy of the Medical Certificate must be produced for verification by the Gambian Immigrations Department.

Please note that West African citizens with a valid ECOWAS passport do not require a Visa for entry to The Gambia

Immigration Policies for International Students (Non-West African Citizens)

International students must comply with the policies set by the Immigrations Department of Gambia. Please adhere strictly to the requirements to minimize delay or other problems that may arise. Students from West Africa that hold valid ECOWAS passport do not need a visa to enter The Gambia, also some other nations donot require a visa, please check with The Gambian embassy in your country to ascertain if a visa is required.
A valid passport with a minimum one and half year (18 months) validity is required to apply for your student visa. You need to obtain an approval letter from The Gambian Immigrations Department prior to entering the country via the University.
  • You must forward all the necessary documentation to the Student Enrolment Centre before an application can be made for your Resident Permit or visa.
  • The University will apply for a Resident Permit / visa on your behalf.
  • The whole process with COMPLETE DOCUMENTS for application, submission and approval for the Visa Approval Letter will take approximately 6 to 8 weeks.
  • Once approved, the University will obtain the Visa Approval Letter (VAL) , which issued by The Gambian Department of Immigrations.
  • Please seek advice from the nearest The Gambian Embassy, High Commission for application to obtain an entry visa before entering The Gambia.
  • It is advisable that you obtain your Visa Approval Letter before entering to study in The Gambia to avoid any issues or problems coming to study in The Gambia.

Please note that the Visa Approval Letter is ONLY valid for three (3) months

  • Upon receiving your entry visa, you are to inform the University a minimum of seven working days before departing from your country.
  • Bring along a copy of your Visa Approval Letter (VAL).
  • The University representatives will meet you at the Banjul International Airport to assist you to process your entry visa at the Immigrations checkpoint.
  • Please report to the International Support Team soon after your arrival with your original passport and Letter of Acceptance.

Renewal or Extension of Resident Permit

Please bring your passport to the Visa Processing Unit three months before the expiry date of your Resident Permit for processing as failure to do so will incur penalty charges.
You need to submit the following to the Visa Processing Centre:
  • Clearance Form from the Registrar's Office.
  • Your original Passport
  • Renewal fee of Resident Permit
  • 2 pcs of passport-size photo, in blue background
  • Letter of Acceptance

  • The Approval for renewal is also subject to:
  • Student attendance to be at least 80%.
  • GPA – 2.0 and above
  • The Immigrations is provided with a valid reason for 3 consecutive days absence from class
  • The Immigrations has the right to cancel a Resident Permit based on poor attendance and poor academic results.

Withdrawal

  • If you wish to withdraw from your studies, you must report to the Registrar's Office one month prior to leaving for your home country.
  • You are required to complete the Withdrawal Form from the Registrar's Office and obtain approval for the deposit refund.
  • You must bring along a confirmed air ticket for a Resident Permit cancellation.
  • Failure to comply with this procedure will necessitate the University notifying the Immigrations Department and the Ministry of Higher Education to cancel your Resident Permit.

Defer Studies

  • If you wish to defer your studies, you will have to return to your home country.
  • You need to report to the Registrar's Office with a confirmed air ticket, as well as to report / inform the Visa Processing Unit of your re-entry after the deferment period for advice on your next Resident Permit renewal.
  • Failure to comply with this procedure will result in the University having to notify the Immigrations Department and the Ministry of Higher Education to cancel your Resident Permit.

Returning Home during Holidays

  • If you are planning to return to your home country during the trimester break or holidays, you need to inform the Visa Processing Unit for advice on your next Resident Permit renewal.

If you lose your Passport

In the event that you lose your passport, you need to do the following steps:
  • Lodge a police report. With the police report, proceed to your Embassy or High Commission to make a new passport.
  • Upon obtaining your new passport, proceed to the Visa Processing Centre with a copy of your police report and a letter from the Embassy as the support document to obtain your new Resident Permit sticker for your new passport

When you have a new passport

  • If you renew or change your passport for any reason, please transfer your Resident Permit sticker from the old passport to the new passport immediately.
  • Your Resident Permit will not be valid in the old passport.
  • You need to bring your old and new passports to the Visa Processing Centre to prepare the necessary documents for the sticker transfer.
  • There will be charges for a Single / Multiple entry visa based on the entry country.
  • The duration for transferring the sticker would be 14 working days upon submission to the Immigrations.

Other General and Important Information:

  • Please be reminded that you are required to carry your student pass all times when travelling in The Gambia..
